Got a bad review? A calm 3-step plan to respond
A bad review isn't a disaster - it's a chance to show everyone how you handle problems. Here's a simple plan to turn it around.

A single 1-star review can feel personal. But remember: your reply isn't really for the reviewer - it's for the hundreds of future customers reading it.
Step 1: Pause, don't react
Never reply angry. Take a breath. The goal is to look calm, fair, and human - not defensive.
Step 2: Acknowledge, apologise, own it
- Thank them for the feedback.
- Name the specific problem so they feel heard.
- Apologise sincerely - no "but".
"We're sorry, Sam - a late order with no update isn't the experience we want. That's on us."
Step 3: Take it offline
Offer a real fix and move to a private channel, so you can resolve it without a public back-and-forth.
"We'd like to make this right - please message us on WhatsApp and we'll sort it out."
What NOT to do
- Don't argue or blame the customer.
- Don't ignore it - silence looks worse than the review.
- Don't post a generic copy-paste reply.
Reply fast - within hours, if you can. Sunaam catches every review the moment it lands, pings you on WhatsApp for the bad ones, and drafts a calm, on-brand reply you can approve in a tap. See how it works.
